JOB SUMMARY

ABA ROLI is seeking an Operations Assistant to be based in Metro Manila, Philippines to support an ongoing USAID-funded program to increase citizens’ awareness of rights and access to legal aid services, strengthen alternative dispute resolution mechanisms, and support the fair and efficient administration of justice. This position will support the office’s day-to-day human resource functions and duties. The ideal candidate will have prior experience in recruitment, maintaining staff records, and identifying training and development needs for employees.

Duties and Responsibilities

Summary of Key Functions:

The duties of this post include, but are not limited to, the following:

Provide general administrative services such as asset and facilities management, including annual tracking of commodity end-users, listing, and periodic inventory of expendable and non-expendable properties;Maintain and organize filing of copies of all relevant memos, orders/circulars, policies, and guidelines;Participate in recruitment efforts, including posting job advertisements, organizing resumes and job applications, scheduling job interviews, and assisting in interview processes;Perform on-boarding activities, including orientations for new employees and setting up designated log-ins, email addresses, workstations, etc.;Maintain accurate and up-to-date human resource files and databases;Maintain the integrity and confidentiality of human resources records and information;Update and maintain employee information, employment status, and similar records;Assist in benefits administration and payroll functions, including the processing of payslips;Monitor and record employee leaves and absences, overtime, and timesheets and ensures proper filing of appropriate documentation;Assist in the management of staff performance planning and evaluation processes;Assist with planning and execution of events such as benefits enrollment, organization-wide meetings and workshops;Assist in identifying staff capacity-building and development needs;Assist in implementing systematic staff development procedures;Assist in providing counseling on human resources policies and procedures and serve as the main point of contact on human resources-related concerns;Conduct all business in a manner that respects local culture, always maintaining high ethical standards and avoiding conflicts of interestAbide by all local laws, ABA ROLI policies, and USAID regulations, and ensure personal and program compliance with applicable anti-corruption laws;Perform other related duties as required.Selection CriteriaEducation, Skills & Experience:Must have a bachelor’s degree in Business or Public Administration, Management, or related field;At least 2 years of relevant professional experience is desirable;Must have experience on administrative assignments;Must possess strong interpersonal and organizational skills;Must possess good written and oral communication skills in Filipino and English;Must be familiar with Microsoft Office applications;Must possess practical skills in IT maintenance and minor troubleshooting;Must have experience in nongovernmental organizations, international organizations or US government-funded projects including familiarity with US regulations;Must be familiar with the use of office IT equipment (PC, video-conferencing suite), communication, and learning platforms including setting up virtual events and cloud storage; andMust be familiar with e-commerce and able to identify legitimate marketing networks and vendors. Functional Competencies Required:Monitors specific stages of activity implementation;Innovates, generates, and shares new ideas to improve efficiencies;Identifies bottlenecks and proposes effective solutions; andStrategically and collaboratively works with others.
