The Executive Assistant (Mandarin Speaking) provides support to another individual or group of individuals by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks.

DUTIES & RESPONSIBILITIES

Manages day to day calendar(s) of senior managementCoordinates all aspects of executive level manager appointments, meetings, receptions and conference callsMay prepare and review materials and correspondence for meetingsAssist with creation/modification of presentations, spreadsheets, and other various documentsCoordinates travel arrangements; prepare and distribute schedules/agendas for travelPrepares, reconciles, and tracks expense reports through Travel and Entertainment Expense systemOrders supplies and process invoices through Procure to Pay systemProcess and follow-up on Virtual RequestsAssists in ad-hoc reports special projects as neededTrains, coaches or guides other administrative staff when required

QUALIFICATION

Previous office administration experience within a large and complex company or similar organizationHighly proficient in Microsoft OfficeConsistently demonstrates clear and concise written and verbal communication skillsDemonstrated ability to quickly gain command of new systemsSelf-motivated and detail orientedFluent in English (articulate orally and via writing)Can speak and understand Mandarin
