Technical Officer / Executive Assistant, Office of the GM

Overall Objectives:The Technical Officer is responsible for the Time and Data Management of the Factory Head which covers strategic management of day-to-day activities and governance meetings, preparation of necessary reports and transcription of meeting minutes and memoranda. Responsible in making follow-ups on action items or reports that need to be submitted to the GM; and ensuring that all requirements are submitted, and targets are achieved. She is also expected to handle all Factory concerns including management of operational expense and participation in corporate and SBU projects and events.Key Responsibilities:TECHNICAL FUNCTION:• Proactively assists business managers in identifying and evaluating business opportunities.• May lead some performance business improvement initiatives in absence of the General Manager.• Performs staff evaluation, project estimation and planning, project budget expenditure.• Help in ensuring that the business case on Factory key projects to obtain approval.o Work with business managers and directors to create project requests• Understand advanced Process Measurement (tying value chain processes to corporate performance metrics)o Focus is on what to do with the captured metrics.ADMINISTRATIVE FUNCTION:• Provides Technical support to the General Manager and ensuring smooth flow of time & calendar schedules.• Entertains visitors and provide necessary assistance.• Ensures proper transmittal and receipt of documents.• Ensures confidentiality of all communications and transactions within the office of her superior.• Informs her superior on all matters affecting office administrative works.• Compiles and organizes reports, memos and other correspondences.• Performs other functions as may be assigned by superior from time to time.EH&S, ACE & Ethics• Complies with applicable EH&S and quality regulations• Observes standard works• Complies on financial controls and policies• Applies system statistical tools and training lessons• Delivers customer satisfaction• Adheres on ethics policiesQUALIFICATIonSCollege graduate of Communication or Commerce or any related field.Work experience as an Executive Assistant or similar role.With at least five years of experience related Manufacturing Business Operations. Outstanding organizational and time management skills.Familiarity with office gadgets and applications (e.g. e-calendars, copy machines, etc.)Excellent MS Office knowledge. (PPT, Excel, Outlook, etc.)Extensive Presentation AbilitiesCAN START ASAP
