Technical Assistant / Document Controller

PRIMARY FUNCTIonSTo provide various administrative support to the Landscape Architectural Deign and Agri-Tourism Team.Ensure that all files are organized an are properly stored (either physically or in cloud) for safe-keeping and future reference.Coordinate with various departments, divisions, and staff handling transactions that are pertinent to a specific projects.Receives, records, manage, coordinates accomplish and safe keep Landscape Architectural and Agri-tourism related files including:a. Drawingsb. Permits and Licensesc. Correspondencesd. External and Internal submittalse. Billingsf. Payrolls (via agencies)g. Receiptsh. DR and SI endorsementsReceiving, recording, transmitting and coordination RFA/RFI, RBD/FCD files from and to Operations Division (Project Management, Contracts and Procurement, Quality Surveyor, Quality Control), and Property Management.Coordinates and schedules meetings as requested by team heads.Check completeness and correctness of permit requests, billings, and other documents and requirements.Coordinate with Agencies regarding Payroll of staff hired via Agency.PROJECT COORDINATION FUNCTIonSCoordinates with theIn-house Project manager, Project Architect and Project Engineer-in-charge of the project.Ensures proper coordination with Landscape Architecture Design Consultants, Agri-Tourism and Contractors.Attends design coordination meetings for specific ProjectsRegularly submit reports regarding the status of various landscape related projects.OTHER FUNCTIonSOther functions related to work as instructed by the AVP, VP and the Executive Committee
